ROLES AND RESPONSIBILITIES

Chairperson
•To provide direction for the club by effective leadership and management,
•Must plan ahead and manage other officers to ensure delivery of their responsibilities,
•Chairs meetings of main Committee, and ensures all Club Sub-Committees meet regularly,
•Sets agenda and facilitates discussions in neutral uncommitted capacity at club meetings,
•Acts as a conciliator between two parties trying to resolve a disagreement,
•Can act as point of reference for external agencies in conjunction with the Secretary, and encourage community links,
•To attend Aylesham & Snowdown Welfare Committee Meetings,
•To attend Aylesham Leisure Project Steering Group Meetings,
•To attend annual Kent RFU Meetings.

Honorary Secretary
•At the forefront of the organisation, and first point of contact for an outsider,
•Principal administration officer - the main link between; members, executive committees and outside agencies,
•Must have good all-round communication skills, be computer literate with access to email/internet,
•Organise AGM, committee meetings, prepare agendas (set by the chairperson) and take minutes to distribute,
•Holds and continually updates data and details of all members,
•Assist treasurer with collecting membership fees,

Honorary Treasurer
•Should be financially qualified to administer club accounts, appointing auditors if necessary,
•Prepare, agree and set budgets, with cost controls,
•Prepare income and expenditure accounts and cash flow forecasts,
•Collect subscriptions with assistance from the Secretary,
•Pay affiliation fees and renew insurances annually,
•Organise team treasurers if necessary and collates all fees,
•To prepare and submit statutory documents that are required (e.g. VAT returns, PAYE and NI returns, tax returns, grant aid reports)
•Present accounts for the end of year financial report and audit,

Fixtures Secretary
•Point of reference between league and teams,
•Books pitches and facilities for the season,
•Oversee the production of a fixture card,
•Contacts all team members regarding fixture list and individual matches,

Disciplinary Officer
•To ensure the Snowdown CWRFC’s ‘Equality & Anti-Bullying Policy’ and the clubs’ ‘Codes of Conduct’ are publicised and implemented,
•To maintain the standards of discipline within the club by investigating and dealing with any allegations of foul play or misconduct fairly, consistently and effectively,
•To provide information to the club members and players in relation to disciplinary matters,
•To attend a ‘Club for All’ and ‘Equity in your Coaching’ workshops, by Sports Coach UK.

Club Captain & Volunteer Co-ordinator
•Act as an ambassador for the club and promote fair play and respect,
•Welcome new members and develop ongoing relations with existing members,
•Recruit volunteers and where possible, place them in roles that suit their background,
•Organise initial orientation for volunteers and where possible ongoing training,
•Attend a ‘Valuing your Sports Volunteers’ workshop, by Sports Coach UK

Senior Coaching Co-ordinator
•Liaise with all senior club coaches to plan and co-ordinate club training sessions,
•Recruit, encourage, develop and organise training for senior club coaches and referees, and act as a point of contact for their coaching & refereeing queries,
•Ensures that all players are correctly registered prior to first game,
•Liaise with Hon. Secretary to ensure that appropriate information has been provided by each player,
•Ensure the safe keeping of players registration cards, emergency contact details and medical information,
•To implement the club’s policy documents; ‘Child Protection Policy’ (which covers 17yr olds), ‘Equality & Anti-Bullying Policy’, ‘Health & Safety Policy’ and ‘Codes of Conduct’.

Junior Coaching Co-ordinator
•Liaise with all junior club coaches to plan and co-ordinate club training sessions,
•Recruit, encourage, develop and organise training for junior club coaches and referees, and act as a point of contact for their coaching & refereeing queries,
•Ensure that all players are correctly registered prior to first game,
•Liaise with Hon. Secretary to ensure that appropriate information has been provided by each player,
•Ensure the safe keeping of players registration cards, emergency contact details and medical information,
•Link between parents and club
•To attend a ‘Coaching Children and Young People’ workshop, by Sports Coach UK.
•To implement the club’s policy documents; ‘Child Protection Policy’, ‘Equality & Anti-Bullying Policy’, ‘Health & Safety Policy’ and ‘Codes of Conduct’,

School Liaison & Welfare Officer
•To create links with and promote junior rugby with local schools,
•To ensure that children and young players are provided with the highest possible standard of care by their coaches and volunteers,
•To implement the club’s policy documents; ‘Child Protection Policy’, ‘Equality & Anti-Bullying Policy’, ‘Health & Safety Policy’ and ‘Codes of Conduct’, and ensure that the parents and children are aware of the policies,
•Ensure that all relevant club members who have regular supervisory contact with children or a management responsibility undertake and Enhanced CRB Check and made aware of relevant training in this area,
•To attend a ‘Safeguarding and Protecting Children’ workshop along with a minimum of two other key coaches/volunteers who are working with children and young people.

First Aid Officer
•Risk assess all activities to determine appropriate level of first aid provision and implementation of risk reductions,
•Ensure first aid equipment is functional and kits are stocked,
•Ensure that appropriate number of coaches, referees and volunteers are qualified to administer first aid,
•To ensure the club’s ‘Health & Safety Policy’ is publicised and adhered to,
•Liaise with the Hon. Secretary and Coaching Co-ordinators to maintain players’ medical details and emergency contact information,
•To attend an ‘Appointed Person First Aid’ course and encourage other key club members to do the same.

Fundraiser & Social Secretary (to include Bar Management)
•Identify all available sponsorship opportunities and methods of accessing funding through partner agencies,
•Ensure that the Club Committee and Treasurer are aware of funding terms and conditions, and maintain records of funding received,
•To organise fundraising functions and social activities for the club,
•To prepare calendar (i.e. AGM, pre-season functions, Christmas Party and end of season functions), book venues, and promote events
•Organising the running of the bar; including staff, ordering, stock control, control of takings, and banking all money received behind the bar,
•Ensure that bar cleanliness and Health & Safety is adhered to,

Webmaster & Press Officer
•To liaise with the Club Committee to promote the club in all its activities, and produce press releases when relevant,
•To ensure that articles, language and photographs reflect fair play and a positive representation of all club members and the community,
•To implement the RFU’s ‘Photographic Policy’ and unsure parents and volunteers understand that this is for the protection of vulnerable children.
•When necessary co-ordinate club members to help publicise the club, its events and members through the media,
•To build a list of local media contacts, and invite to events,
•Keep a record of press cuttings, and web articles,
•To maintain the club website by liaising with all Club Committee Members, and use as a tool to promote and advertise events and matches in the Club,
